How to Plan PTO Around Company Shutdown Days
Turn Christmas closures, summer shutdowns, and company-wide days off into longer breaks without accidentally spending PTO on free dates.
Company shutdown days can be more valuable than public holidays because they are specific to your workplace and often arrive in clusters. A closure on Thursday and Friday can connect directly to a weekend; a year-end shutdown can turn a few PTO days into a much longer break.
The rule is simple: enter every paid, non-PTO closure as a Company Day Off before optimizing. The planner can then bridge around those dates without charging them against your allowance.
What belongs under Company Days Off?
Add dates such as:
- a Christmas-to-New-Year office closure
- a summer plant shutdown
- an organization-wide wellness day
- an employer-provided Friday before a holiday
- a substitute holiday that is missing from the detected calendar
- a location-specific closure your public-holiday list does not include
Do not add a date if it consumes PTO automatically. If the company closes but requires employees to use vacation, that date belongs in your PTO budget or pre-booked leave—not in the free Company Days Off list.
Example: a three-day year-end shutdown
Suppose your employer closes Wednesday through Friday before a weekend. Those three dates already create five consecutive days away from work. Taking Monday and Tuesday off extends the block to seven days for two PTO days.

Without the shutdown dates, a generic planner would think the same seven-day break costs five PTO days. Accurate inputs create the improvement—not an arbitrary bonus in the scoring function.
Enter shutdown dates before choosing a strategy
- Select your location and planning timeframe.
- Review the public holidays.
- Add each paid shutdown date under Company Days Off.
- Add leave that is already committed under Pre-Booked Days.
- Enter the remaining PTO allowance, not the original balance.
- Choose your break style and optimize.
Name groups clearly—“Winter shutdown,” “Summer closure,” or “Company wellness day”—so the final calendar is easy to audit.
Paid shutdown, forced PTO, or unpaid closure?
The label “company shutdown” can hide three different policies:

Look at both edges of the shutdown
The obvious move is to add PTO directly before or after a closure. Compare both sides:
- Which edge reaches a weekend first?
- Is there a public holiday nearby?
- Would one edge require fewer working days?
- Does crossing a month or PTO reset affect the allowance?
- Are blackout dates or team coverage stricter on one side?
The better edge should emerge from the calendar, not from a hardcoded preference for “always add Friday.”
Avoid these common mistakes
- Counting a shutdown twice. Do not enter a date as both a public holiday and a company day.
- Including weekends unnecessarily. Recurring weekends are already free.
- Ignoring partial closures. A half-day may not behave like a full free day; model it manually.
- Forgetting different offices. A global company may have different shutdowns by country or team.
- Using the original PTO balance. Subtract leave that is already booked or automatically consumed.
